Add Manual Line Items

Add products or services to a draft invoice that are not part of the session’s catalog recommendations.

Prerequisites

  • Staff account with billing edit permission
  • The invoice must be in DRAFT status

Steps

  1. Open the draft invoice from the Billing section.
  2. Click Add Line Item to open the line item form.
  3. Enter the required fields:
    • Name — description of the item (e.g., “Pharmacy medication”, “Additional consultation”)
    • Quantity — number of units (must be greater than 0)
    • Unit Price — price per unit
  4. The total for the line item is auto-calculated as quantity × unit price.
  5. Click Save to add the line item to the invoice.

Notes

  • Use manual line items for products or services not in the clinic’s catalog (e.g., medicines from a pharmacy, ad-hoc services).
  • Manual line items can be edited or removed while the invoice is in DRAFT status.
  • Manual line items are never auto-removed by the session recommendation sync — only auto-generated items are affected by sync.
  • The invoice subtotal, tax, and total are automatically recalculated when line items are added, edited, or removed.
  • Once the invoice is FINALIZED, no further edits are possible.
