Book an Appointment for a Lead

Schedule a consultation appointment for a prospective patient (lead) who has not yet been converted to a full patient record.

Prerequisites

  • Staff account with appointment create permission
  • The lead must exist in the system and belong to your clinic

Steps

  1. Navigate to Appointments from the main navigation menu (or initiate booking from the lead’s profile page).
  2. Click Book (or New Appointment) to open the booking form.
  3. Select Lead as the appointment recipient and choose the lead from the list.
  4. Select the Service to be performed.
  5. Choose a date — the calendar shows available dates based on clinic working hours and staff availability.
  6. Choose an available time slot from the displayed options.
  7. Click Confirm to finalize the booking.

Notes

  • The appointment is created with status SCHEDULED and stores the leadId on the record.
  • An email notification is sent to the lead’s email address confirming the booking.
  • When the lead is later converted to a patient, the patientId is automatically updated on all active appointments (SCHEDULED or CONFIRMED) for that lead. The leadId remains for reference.
  • The SmartScheduling engine assigns a qualified staff member automatically.
  • Booking from the lead profile page pre-populates the lead’s name and contact details.
